Octiva creates robotic labor automation solutions for the Controlled Environment Agriculture market in close collaboration and at the service of innovative growers. Octiva was created in 2021 from a merger from Priva’s robotic solutions and Octinion’s agricultural robotics. Priva is one of the global leaders in horticulture process control, Octinion is known for building ground-breaking agricultural robotics. With teams in De Lier (The Netherlands) and Leuven (Belgium), Octiva has about 40 employees.
For our office in Breda (The Netherlands), we are looking for a dedicated Sales & Support Assistant.
Your Role
As Sales & Support Assistant, you’re the driving force behind the administrative support for our Sales & Support Teams. You empower our sales representatives to fully focus on their customers by handling the sales processes and administration smoothly and efficiently. You’re the liaison between the support teams and the client for all administrative matters.
Wondering what a typical day would look like? Imagine this:
You start the day by reviewing the sales inbox. An inquiry from a potential customer requires prompt follow-up. You immediately reach out, gather more information, and assess whether this is a valuable lead for the sales team.
Next, you process some incoming orders and ensure invoices are sent out on time. You check with customers to confirm receipt and assist with any questions they may have.
A colleague scheduled a meeting with you to discuss client visits and preparing quotes.
You send out the planning for the support teams for pro-active maintenance at clients. One of the support reps notifies you that he’s running out of some spare parts, so you check stock levels with the purchase department.
Around lunchtime, you take a relaxing break, either enjoying a meal with colleagues or going for a short walk.
In the afternoon, you focus on preparations for an upcoming trade show. You coordinate logistics, arrange promotional materials, and confirm appointments with external partners.
Later, you align with the production department on delivery dates for ongoing orders and update customers on the progress.
Before leaving the office, you make sure all data in the systems is up-to-date and work on an idea for process improvement, which you plan to discuss with the team soon.
Job requirements
Your profile
You have a few years of experience in a similar administrative or support role.
Excellent command of Dutch and English; knowledge of French and/or German is a plus.
You are flexible, organized, accurate, proactive, and enjoy contributing to process improvements.
You are customer-oriented and communicate clearly and professionally
You have high standards and strive for perfection yet being pragmatic in order to respect deadlines and budget.
You have great communication skills and are a true team-player.
An interest in technology, robotics, horticulture, and process optimization is a big plus!
